Vendor pricing and rate sheets: never quote an expired rate

Moviqo's vendor pricing keeps each vendor's quote for an RFQ in its own section, and Moviqo's rate sheets store every vendor tariff with valid-from and valid-till dates. Active rates are checked before any vendor is asked, and an expired sheet is never quoted.

Vendor pricing

How does vendor pricing work under one RFQ?

Open an RFQ and every vendor you asked has its own section: a shipping line, an NVOCC, a CHA, a transporter. Each section shows its status, the vendor's reference, carrier, routing, transit time, free days, validity, currency and every charge line.

  • Status per vendor: to request, requested, received, declined or no response
  • A re-quote updates the same section as a new revision; it never creates a second one
  • The rate request text is ready to copy, with the RFQ number in the subject and without the customer's name
  • Each charge line keeps the currency the vendor quoted
  • Star one section and build the quotation from it

Vendor routes

Who should you float an RFQ to?

Moviqo keeps the routes each vendor serves: one row per vendor, mode, origin and destination, with the cargo it takes (FCL, LCL, reefer, hazardous, breakbulk, project, heavy lift, ODC or RoRo), the equipment, routing, carrier and the contact who should get RFQs for it.

Routes are learned from every rate sheet you store and every vendor quote you record. They can also be added by hand, by Claude, or by Moviqo AI from a carrier's sailing schedule. On each RFQ, Moviqo lists the vendors to float it to, best match first and breakbulk included, and says when an active rate sheet already prices the lane.

A vendor that stops serving a lane can be paused: it is no longer suggested until a new rate or quote on that lane brings it back.

Rate sheets

How do rate sheets with validity work?

Every rate sheet is stored against a vendor with a carrier, title, mode, trade lane, currency, the original file and two required dates: valid from and valid till. Its status is worked out from those dates every day, never typed in.

How Moviqo treats a rate sheet on any given day (dates in IST).
StatusWhenWhat Moviqo does
UpcomingValid from is in the futureListed under Upcoming; not used in rate search until it starts
ActiveToday is between valid from and valid tillUsed in rate search and matched to RFQs; days left shown, amber at 7 days or fewer
ExpiredValid till has passedMoves to Expired the day after valid till, drops out of rate search, kept for history
  • Lines with POL, POD, via, container, charge, rate, currency, transit days, free days, commodity and remarks
  • Paste a block from Excel into the grid, or let Moviqo AI draft the lines from a PDF, Excel .xlsx or CSV file (up to 600 rows per sheet and 30 PDF pages; paste larger sheets from Excel)
  • A line can end before the sheet does, with its own valid-till date
  • Local charges with no end date are stored "until revised"; the next revision for the same vendor and trade lane closes the previous one the day before
  • Sheets ending within 7 days are flagged for renewal on the dashboard and in Tasks
  • The original file stays on the sheet, so anyone can check the vendor's own wording

Rate search

How do you find an active rate for a port pair?

Rate search takes a POL, a POD, a container type and a date (today by default) and returns the matching lines from active sheets only, with vendor, carrier, rate, transit time, free days and the sheet's validity.

On an RFQ the matching rate sheets appear by themselves: all-in options per vendor and equipment, with the origin local charges on file listed separately. That is why the desk checks the sheets before anyone emails a vendor, and asks vendors only for what the sheets do not cover.

Vendor records

What does Moviqo keep on each vendor?

  • Categories and contacts

Shipping lines, NVOCCs, airlines, GSAs, CHAs, transporters, heavy haul, CFS, cranes, overseas agents and more, each with pricing, operations, accounts and management contacts.

  • Tax and payment details

GSTIN, PAN, TDS section and rate, whether the transporter is a GTA under reverse charge, and payment terms.

  • Key documents

A checklist shows the GST certificate, PAN card, MSME or Udyam certificate and cancelled cheque as on file or missing, and a company profile for vendors outside India.

  • Quote history

Every RFQ section the vendor has priced, with status and total, alongside its active and expired rate sheets and the routes it serves.

Questions

Vendor pricing and rate sheets: common questions

Can I upload a vendor's rate sheet from Excel or PDF?

Yes. Paste a block from Excel into the lines grid, or give the file to Moviqo AI, which reads PDF text, Excel .xlsx and CSV and drafts the rate lines (scanned PDFs, images and old .xls files are not read). It reads up to 600 rows per sheet and 30 PDF pages, so paste larger sheets from Excel. A person reviews every line and saves, and the original file stays attached to the sheet.

What happens when a rate sheet expires?

The day after its valid-till date it moves to Expired and drops out of rate search and RFQ matching, so it cannot be quoted. It is kept for history with its lines and its original file.

How does Moviqo store local charges that have no end date?

As "until revised". When the vendor's next revision for the same trade lane is stored, Moviqo closes the previous one on the day before the new one starts.

Does a vendor's re-quote create a second entry on the RFQ?

No. Each vendor has one section per RFQ; recording new pricing replaces its lines and raises the revision number.

Can a quotation be valid for longer than the vendor's rate?

No. Moviqo will not set a quotation's valid-until date later than the valid-till of the vendor section it was built from.
