Transport and fleet: road, ODC and your own vehicles

How are road and ODC enquiries priced and quoted?

In the Transport workspace a road or ODC enquiry is registered like any RFQ and gets its number first. Price it with your transporters and heavy-haul vendors, each in its own vendor section, then quote the customer per trip, per ton or per km, with buy, sell and margin on every line.

The package rows and the cargo check work here too. The check measures each piece against sea-container sizes, so it shows which pieces will not go in a closed container (open top, flat rack or breakbulk) and gives the transporter their sizes and weights. Whether a road move is ODC, and which permits it needs, is judged against road limits by the transporter.

What does the Fleets workspace keep?

  • Vehicles

    Trailers, hydraulic axles, pullers and other vehicles, with ownership and status: active, on trip, on rental, in workshop or idle.

  • Drivers

    Driver records with their driving licence and its expiry date, and whether each driver is active, on a trip or on leave.

  • Documents with expiry dates

    National permit, insurance, PUC and road tax for each vehicle, each with its number and from and till dates, plus each driver's licence and its expiry date.

  • Own-fleet trip sheets

    Three legs per trip with km, LR and e-way bill numbers, cargo, freight amount, driver advance and status.

  • Monthly rentals

    Vehicles on monthly rental with customers, from start to completion. The rent counts in each vehicle's P&L by the days in the period.

  • Fleet reports

    Vehicle P&L, fleet utilisation and document expiry, described on Reports & dashboards.

Documents

Which vehicle documents can Moviqo track?

National permit, insurance, PUC and road tax, each with its number and from and till dates. Driving licences are tracked on each driver, with the licence number and its expiry date. Fitness and other vehicle documents are not tracked yet.

The document expiry report lists what has expired and what expires within 7, 30, 60 or 90 days, and shows which vehicles are missing key documents.

Trip sheets

How do own-fleet trip sheets work?

A trip sheet follows a vehicle through three legs: positioning from parking to the loading point, the loaded run to the unloading point, and the return to parking or the next load. Recording the empty legs is what keeps the km run and the loaded share honest.

Each trip records the km of each leg, the LR and e-way bill numbers, the cargo, weight and packages, the freight amount, the advance to the driver and the trip status.

Scope

What does Moviqo not do for transport yet?

Moviqo records lorry receipt and e-way bill numbers; it does not generate LRs or e-way bills, and it does not raise invoices or vendor bills. Keep using the GST e-way bill system and your accounting software for those, and record the numbers on the trip.

Trip expenses, detention and workshop costs cannot be entered yet, and of the vehicle documents only the national permit, insurance, PUC and road tax are tracked.

Can Moviqo generate lorry receipts or e-way bills?

No. Trip sheets record the LR and e-way bill numbers you generate elsewhere.

Does Moviqo warn before vehicle insurance or permits expire?

Yes, for insurance, the national permit, PUC and road tax, and for driving licences; fitness and other documents are not tracked yet. The document expiry report lists what has expired or expires within 7, 30, 60 or 90 days.

Can I quote a road move per ton or per km?

Yes. Transport quotations can be priced per trip, per ton or per km.

Can I see the profit of each vehicle?

Partly. The vehicle P&L report shows what each own vehicle earns from trip freight and monthly rent, and its freight per km run. Trip expenses, detention and workshop costs cannot be entered yet, so they are not set against it today.
